The Challenge

Before implementing FM material management software, Project Coordinator Stacey Magro manually forwarded field requisition forms to the purchasing team to place orders. Purchasing team would then manually email orders to suppliers. Suppliers would send back quote documents (order acknowledgement forms). Purchasing data for different jobs was scattered across email attachments. The core issue was how decentralized the whole process was. Critical purchasing data that included field requisitions, quotations, delivery statuses, and invoices was scattered across individual emails. This made it very difficult for the purchasing team to track statuses, confirm costs, and verify what has been requested, delivered, and invoiced.

The constant, time-consuming back-and-forth communication needed to confirm basic details led to excessive administrative overhead and information discrepancies that became more severe as the company continued to grow.

The Solution

Worth & Company began looking for a material management software that seamlessly integrated with Viewpoint Vista. When they discovered and saw Field Materials AI, they were quickly convinced this was the right solution.

The field team now submits their requisitions through the mobile app. They can either select materials from their item catalog or upload a hand-filled materials request form. The AI reads the form to itemize a purchase order (PO) that the purchasing team then submits to the supplier for confirmation. Stacey no longer needs to manually forward requisitions to the purchasing team. Suppliers can submit their quotes with prices via Field Materials. AI reads the quotes to fill in the prices for the purchase order. Once the order is delivered on site, the field staff take a photo of the delivery slip and the AI automatically matches it to the correct PO pre-filling the received quantities. This makes it a breeze for the office staff to see how much has been ordered, received, and invoiced on any PO and any job, at the aggregate. No more unnecessary back-and-forth communication that was taking so much valuable time. The whole procurement process is now streamlined.
