As the company grew, so did the number of invoices and receipts processed by its accounts payable department. While JCP relied on Foundation for accounting, the process of collecting, entering and approving invoices was manual and time-consuming. They knew they needed to improve how they handled procurement.

Before Field Materials, invoices arrived via email and were placed in a shared drive with folders for each project. Project managers would have to locate the correct folder, open and print the invoice, and specify the project number and cost codes before sending the invoice back to accounts payable. From there, the AP team manually entered each invoice into Foundation one at a time. Processing receipts was equally inefficient, requiring team members to submit pictures by email and for the AP team to enter the data by hand. The result was a slow and cumbersome workflow that delayed invoice approvals and vendor payments. “We were always behind,” said Eoin O’Sullivan, Accounts Payable Specialist. “Invoices just weren’t getting into the system fast enough, which meant vendors weren’t getting paid on time.” This slowdown was so bad, it was impacting relations with vendors.
