Before Field Materials, all data entry for purchase orders was done manually in FOUNDATION. Staff had to enter purchase orders, delivery tickets, and invoices by typing the vendor, item descriptions, quantities, units of measurement, unit costs, and cost codes line by line. This was extremely time consuming and prone to human error. Large purchase orders with dozens of items were especially challenging. It took hours to create such POs in FOUNDATION. With a high volume of purchase orders, especially during project kickoffs, this was a major pain point for the Accounts Payable team.
Superintendents, who received orders in the field, either brought the physical paper delivery tickets to the office or emailed them as photos with a delay. This made it hard for the accounting team to check invoices against deliveries in a timely manner. As the workload increased, it became clear that the existing process was not scalable.

The purchasing team uses Field Materials to create purchase orders from supplier quote documents. The AI reads the PDF and instantly creates an itemized cost-coded PO. What once took hours to do now takes minutes, even seconds.
Superintendents now use the Field Materials mobile app to take photos of delivery tickets. The AI does the rest - it automatically matches the ticket to the correct purchase order and prefills received quantities by reading the content of the ticket as a human would do.
The accounting team now manages all supplier invoices in Field Materials, where the AI automatically performs a 3-way match. Each invoice is matched to the correct purchase order and delivery ticket. The AI also pre-fills invoiced quantities by reading the content of the invoice as a human would do and flags any mismatched prices or quantities. It is now a breeze for the AP team to review and process invoices. All Caitlin needs to do is spot check and make minor adjustments. After Caitlin reviews invoices, project managers are notified to approve them.
Once PMs approve invoices for the jobs they manage, Field Materials exports them to FOUNDATION.
