Before Field Materials AI, the CTX field staff would call a dedicated phone line to request a purchase order (PO) when they needed to pick up materials or tools from vendors. Patricia had to always stop what she was doing, go to FOUNDATION Software, create a PO, and then let the employee who requested it know. Sometimes, field staff would go and pick up materials without a PO. It was very hard for Patricia to keep track of what the field crews were ordering until the vendor invoices came in or paper receipts were dropped in at the office by the foremen.
Invoices arrived to the CTX team via snail mail, requiring the team to print, manually sort, and physically file the paperwork. Every single invoice was manually entered into FOUNDATION.
When processing an invoice, Patricia had to manually select in FOUNDATION the vendor, the job, and the corresponding purchase order. She often needed to repeat the same steps for 40-50 invoices from the same vendor. With CTX processing over 500 invoices per month, this was a very laborious and time consuming task for Patricia.

Patricia no longer needs to be on the phone to help create purchase orders. Foremen and superintendents now use the FM mobile app to reserve POs specifying the job and cost codes without needing the help of the back office. The AI cost codes the POs, which helps eliminate the need to cost code invoices. Foremen also take photos of receipts that AI agents instantly itemize and cost code. Patricia describes the impact as a “game changer” that has completely freed up her time. Now, she instantly sees all orders placed by the field crews as well as all receipts for will call orders without needing to wait for paperwork. No more rogue spending surprises or hours on the phone each week.
Today Patricia is primarily focused on approving invoices. No more paperwork to handle. Vendor invoices are now emailed to a dedicated email inbox and FM automatically reads the invoices and matches them to the correct POs. Once Patricia approves the invoice, it is automatically exported to FOUNDATION. All of this takes a fraction of the time it used to.
Patricia shared her excitement of how closely the Field Materials team was listening to her needs and how quickly it took action. Any requests she had for other software companies were mostly ignored.
