As Verde Electric continued to grow, its material purchasing volume grew substantially. The company was faced with the dilemma to either hire more people on the purchasing team or find a software solution that would significantly increase the capacity of the existing team and make the whole procurement process much more efficient.
Field Materials AI has become my assistant. We wanted to hire a 4th purchaser on the team and I am glad we didn’t. I don’t have to train Field Materials how to do anything. Before adopting Field Materials electrical contractor software, the process of creating a purchase order was highly laborious. The purchasing team started with reviewing emails from suppliers that provided quotes as PDF attachments. While having the PDF opened, purchasers had to painstakingly create purchase orders in Viewpoint Spectrum by typing 7 different fields for each line item (item description, the required quantities, units of measurement, prices, etc.) Some purchase orders had up to 400 line items, which meant it took over an hour to create a PO in Spectrum.

With a seamless integration with Viewpoint Spectrum, Field Materials AI has completely eliminated the need for any manual data entry in Spectrum. The purchasing team got started with little effort. At a click of a button, they imported from Spectrum into Field Materials all projects and project specific cost codes, suppliers, cost types, and tax codes. Training was also a breeze. According to George, “Field Materials has phenomenal customer service and is very simple to use.“
Before creating a purchase order, the purchasing team now uses Field Materials to request equotes from preferred suppliers. As suppliers submit quotes, the AI automates the quote analysis and helps the team select the best quote to then create a PO out of it. For those suppliers that still email quote PDFs, George and his team simply drag and drop the quote PDF document into Field Materials and the AI scans its content and instantly creates an itemized, cost-coded purchase order. The only things they need to specify is the job and desired delivery time and location. Once the team selects the job, Field Materials automatically assigns the next available purchase order number specific to that job, emails the order to the supplier and exports the PO to Spectrum.
I’ve been doing purchasing for 20 years. Field Materials has become my assistant. It has streamlined what I do and I trust its results. AI is new to me and I can’t imagine how I can keep going for another 20 years without it. Field Materials is an industry changer!
