Our process was all over the place, really. To be honest, there was no process. We’d get invoices and just hope the information was right.

With Field Materials AI, everyone's organized and on the same page now. If there’s a problem I know where to go. There are no more lost orders.

Jim Alger, Senior Project Manager, describes the company’s procurement process in one word: “Chaos.” There was no standardized method to buy materials or track job costs. Instead, accountants and Project Managers used their own unique systems on every project. They submitted orders by email to vendors and then manually entered the POs into Quickbooks Desktop - a slow and time consuming process.
Jim described Apollo’s material purchasing practice as a "digital paper shuffle". As the AP team received via email vendor invoices, they forwarded them to PMs in hopes that they will cost code and assign them to the correct job.
With all the inconsistent purchasing practices throughout the company, Apollo’s team found it very difficult to verify what was ordered and actually received on a job, and verify the accuracy of vendor invoices.

Once Apollo Electric adopted Field Materials AI construction purchase order software, it had an immediate and visible impact on the company operations. FM became the "operating system" for procurement automation.
Field teams now use the FM mobile app to place and track purchase orders with vendors. When creating a field requisition, foremen can easily find the material they need from the Apollo’s standard item database. Now there is consistency across all field orders on how material descriptions are handled. Everyone in the company is now clear who and when placed an order, and for which job. When a vendor sends an invoice that doesn’t match the purchase order prices, the AP team kicks it back to the right PM or the vendor for a resolution.
Field Materials AI has now become instrumental for Apollo Electric in managing project budgets.

Before Field Materials AI, Apollo Electric didn’t have a consistent process to handle material purchasing. Today, the company no longer relies on a myriad of emails. Instead, foremen submit field requisitions with the mobile app and the AI does the heavy lifting for the backoffice staff.
